Booking policies.
These apply to reservations made directly with us. Bookings made through another site follow the policy shown there.
Cancellation
- Cancel within 24 hours of booking for a full refund, as long as check-in is at least 7 days away.
- Cancel 30 or more days before check-in for a full refund.
- Cancel 7 to 29 days before check-in for a 50% refund.
- Cancellations less than 7 days before check-in are non-refundable.
Peak dates
Reservations that include any peak night follow stricter terms. Peak dates are Memorial Day weekend, the week of July 4th, Labor Day weekend, the Formula 1 United States Grand Prix weekend, Thanksgiving week, and December 20 through January 2. Cancellations 60 or more days before check-in receive a full refund, and cancellations less than 60 days before check-in are non-refundable. The 24-hour cancellation window above still applies.
Stays of 28 nights or more
Reservations of 28 nights or more can be cancelled for a full refund 30 or more days before check-in. If you cancel less than 30 days before check-in or during your stay, you pay for any nights already stayed plus the 30 nights following your cancellation, or all remaining nights if fewer than 30 are left.
Refunds
Refund percentages apply to the total amount paid, including the cleaning fee and taxes. Refunds go back to the original payment method within 5 business days of your cancellation.
How to cancel or change dates
Email reservations@staycanyonclub.com with your name and reservation number. Days are counted to the check-in time on your arrival date, in Central Time. If you contact us 30 or more days before check-in, you may move your reservation once, at no charge, to new dates within 12 months of your original arrival, subject to availability.
Weather and events outside your control
If severe weather, flooding, wildfire, or a government order makes the home unsafe or impossible to reach during your stay, we will offer a full refund for the affected nights or move your stay to new dates. We recommend travel insurance for other circumstances, such as illness or flight cancellations.
If we need to cancel
In the rare event that we have to cancel your reservation, you will receive a full refund, and we will help you find a comparable home at The Canyon Club if one is available.
Payment
A 50% deposit is charged when you book. The balance is charged automatically 30 days before check-in, or 60 days before check-in for stays that include peak dates. Reservations made inside those windows are paid in full at booking. Stays of 28 nights or more are charged in 30-night installments.
Security deposit
For direct bookings, a refundable hold is placed on the card used to book, one day before check-in. It is a temporary authorization, not a charge. Your door code and arrival instructions are sent once the hold is in place. For longer stays, the hold is renewed automatically so it stays in place until check-out.
We inspect the home after you leave. If everything is in order, the hold is released within 48 hours of check-out. If we find damage, missing items, cleaning beyond a standard turnover, or a house rule violation, we will email you within 48 hours of check-out with an itemized list, photos, and costs. Normal wear and tear is never charged.
House rules
- Check-in after 4:00 pm. Check-out before 10:00 am.
- The primary guest must be at least 25 years old and staying in the home.
- No parties or events.
- No smoking or vaping inside.
- Dogs are welcome where noted, up to two, and must be leashed or inside at all times.
- Respect quiet hours and our neighbors in the community.
- Occupancy may not exceed the limit listed for the home.
